1. Introduction

This Privacy Policy explains how Proposals Builder ("we", "us") collects, uses, and protects information when you use our document-building and e-signature platform (the "Service").

2. Information We Collect

Account information: your name, email address, and password (stored as a salted hash, never in plain text) when you register directly, or your name, email address, and profile information from Google when you sign in with Google.

Documents and signer data: the content of documents, templates, and workspaces you create, along with the name, email address, and captured signature/initials of anyone who signs a document you send.

Usage and device data: when a document is opened or a signing link is visited, we record the time, an approximate location derived from IP address, and basic device/browser information, so you can see delivery and viewing activity for your own documents.

Communications: if you contact us for support, we keep a record of that correspondence.

3. How We Use Information

To provide, operate, and maintain the Service — including rendering documents, delivering them to signers, and producing the final signed PDF;
To authenticate you and keep your account secure;
To send account-related emails (e.g. sign-in links, document notifications, signature reminders) and, where enabled, a weekly activity summary;
To show you document-level analytics (opens, views, signature status) for documents you sent;
To respond to support requests;
To detect, prevent, and address fraud, abuse, or security issues.

4. AI-Assisted Features

If you use AI-assisted drafting or content suggestions, the prompt text you provide is sent to a third-party AI model provider to generate a response. We do not knowingly send a document's collected signer data (signatures, filled form values) to the AI provider as part of this process.

5. How We Share Information

We do not sell your personal information. We share information only:

With signers and collaborators you explicitly choose to send a document to or share a workspace with;
With service providers who help us operate the Service — email delivery, cloud file storage, and AI-model providers for the features described above — bound to use the data only to provide that service;
When required by law, or to protect the rights, property, or safety of Proposals Builder, our users, or the public;
As part of a merger, acquisition, or sale of assets, with notice to affected users where required by law.

6. Data Retention

We retain account and document data for as long as your account is active, or as needed to provide the Service. If you delete a document or your account, we remove it from active systems within a reasonable period, except where retention is required to comply with legal obligations, resolve disputes, or enforce our agreements.

7. Security

We use industry-standard safeguards to protect your data, including encrypted storage of sensitive credentials, hashed passwords, and access controls limiting who can view your documents. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your location, you may have the right to access, correct, export, or delete your personal information. You can update most account information directly from your Account Settings, or contact us at support@proposalsbuilder.com to make a request.

9. Children's Privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from children.

10. International Data Transfers

Your information may be processed and stored in countries other than your own, including where our hosting and email-delivery providers operate. We take steps to ensure such transfers comply with applicable data protection laws.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice, such as an in-app notice or an email to your registered address.
